This Privacy Policy explains how Odemly L.L.C-FZ, trading as "Freshenify" ("Freshenify", "we", "us" or "our"), collects and uses your personal data when you visit or buy from freshenify.co.uk / freshenify.com (the "Site").

1. WHAT WE COLLECT
- Order and contact details: name, email, phone, billing and delivery address.
- Personalisation content: the image(s) and any text you upload to customise your product, together with the choices you make in the personaliser (pack size, scent, and how the image should be cropped).
- Payment information: processed securely by our payment providers. We do not receive or store full card details.
- Usage data: device, browser, IP address, and how you interact with the Site (via cookies and similar technologies).
- Personaliser usage: anonymous, per-session records of the steps you take in the personaliser (for example: a photo was uploaded, a preview was produced, how long it took, whether it was added to the basket). These are not linked to your name or email.
2. HOW WE USE IT
- To create, produce and deliver your personalised order.
- To process payments and prevent fraud.
- To provide customer support and send order-related messages.
- With your consent, to send marketing about our products (you can unsubscribe at any time).
- To operate, secure and improve the Site and the personaliser, and to meet legal obligations.
See section 5 for exactly what happens to an image you upload. We do not sell your personal data.
3. LEGAL BASES
Where applicable law (including the UK GDPR and EU GDPR) applies, we rely on: performance of your contract (to fulfil your order), your consent (for marketing, non-essential cookies, and for using your image to improve our image-processing models), our legitimate interests (to run, secure and improve the business), and legal obligation.
4. SHARING
We share data only with providers who help us run the business, and only for that purpose:
- Shopify — our e-commerce platform (order, contact and payment routing).
- Payment processors — to take payment.
- Cutout.Pro — automated image cut-out (see section 5).
- Supabase and Render — hosting and file storage for our order-management system.
- Google Drive — an encrypted-in-transit backup of production files (see section 6).
- Shipping and logistics providers — Royal Mail, FedEx, USPS, GLS and similar, plus the shipping platforms we book through, to deliver your order.
These providers process data on our behalf under appropriate agreements. We may also disclose data where required by law.
5. IMAGE PROCESSING AND AI
When you upload a photo to the personaliser, the following happens:
a) Your original file is uploaded to our storage and kept as the master copy for your order.
b) A downscaled copy is sent to Cutout.Pro, a third-party service, which automatically separates the subject from the background. Your image is transmitted to and processed on their systems for this purpose.
c) The result is returned to us, we add the white sticker border, and the finished file is stored as the print file used to manufacture your product.
d) A small preview picture (roughly 300 pixels) of the cut-out is stored alongside our anonymous personaliser statistics, so we can see where people are getting stuck. This happens whether or not you go on to buy.
e) If the automatic cut-out is not good enough, you can ask for a hand-cut. In that case a member of our team opens your original photo and prepares it manually.
So for one personalised item we may hold up to four images: your original, the automatic cut-out, the finished print file, and the small preview.
Uploaded images and the results of processing them may also be used to develop, test and improve image-processing and AI models used by us and our providers. If you do not want your image used for these improvement purposes, or you would like it deleted sooner than the periods in section 6, email connect@odemly.com and we will action your request.
6. HOW LONG WE KEEP IMAGES
Different files have different lifetimes. In normal operation:
- Photo uploaded but no order placed (an abandoned basket): deleted 30 days after upload.
- The small preview picture used for our personaliser statistics: removed 30 days after it was recorded. The anonymous statistics themselves (timings, step counts) are kept without any image.
- The files belonging to a dispatched order — your original photo, the cut-out, the print file and the shipping label: deleted 60 days after your order is dispatched. The order record itself (what was ordered, when, where it went) is kept for accounting, warranty and legal purposes.
- Production sheets, which lay out many customers' designs together for printing: deleted 60 days after they are created.
- Backup copies held in Google Drive: removed after 60 days, and then permanently purged from the backup provider's own deleted-items area approximately 30 days later.
Two exceptions you should know about:
- If an order is never dispatched — for example it is cancelled mid-production or held for a problem — its files are kept until the order is resolved, because we may still need to produce or refund it.
- If we hand-cut your image, a working copy may exist in our production system until that order's 60-day window has passed.
7. RETENTION OF OTHER DATA
We keep order, contact and billing records for as long as needed to fulfil your order and to meet accounting, tax and legal obligations, and to resolve disputes. Marketing contact details are kept until you unsubscribe.
8. INTERNATIONAL TRANSFERS
We operate internationally, so your data may be processed outside your country, including in the United Arab Emirates and in the countries where our service providers operate. Where we transfer data out of the UK or European Economic Area, we rely on recognised safeguards (such as Standard Contractual Clauses or adequacy decisions).
9. YOUR RIGHTS
Depending on where you live, you may have the right to access, correct, delete or port your data, to object to or restrict processing, and to withdraw consent at any time.
To exercise any right, email connect@odemly.com. On a deletion request we remove the images we hold for your order from our systems and anonymise your order record, keeping only what we are required to retain for accounting and legal purposes. Backup copies are removed on the backup schedule in section 6.
You may also complain to your local data-protection authority.
10. COOKIES
We use cookies to run the Site, remember your preferences, measure performance and — with your consent — for marketing. You can manage cookies through the banner or your browser settings.
11. CHILDREN
The Site is not directed at children under 13, and we do not knowingly collect their data. If you believe a child has provided us with personal data, email connect@odemly.com and we will delete it.
12. CHANGES
We may update this policy; the "Last updated" date above shows the latest version.
